Enabling voice observations

Introduction

Take your safety from a voice recording in any language to a structured, actionable work item in seconds — with no manual transcription or interpretation required.

SafetyLoop's new Voice Observations feature makes reporting faster and more accessible than ever. Any worker can open the app, tap the microphone, and speak their observation in their own language - no typing, no forms. Once submitted, SafetyLoop's AI automatically transcribes the audio, translates it into English, categorizes the observation, and recommends action items so your safety team can respond without delay.

Step 1: Open a New Observation

From the SafetyLoop app, tap New Observation and select the relevant group or project from the dropdown. You'll see a simple screen with one instruction: "Tap the microphone to start recording. Speak in any language."

No typing required. Just tap the microphone and start talking.

Step 2: Record Your Observation in Over 99 Languages

Once you tap the microphone, recording begins immediately. A live timer shows your audio is being captured. Speak naturally - describe what you see, where it is, and any details that are relevant.

While recording, you can Pause, Stop, or tap Photo to capture an image of the hazard without interrupting your voice note. SafetyLoop supports over 99 languages and detects your language automatically - no settings to change.

Step 3: Review Your Recording / Translation

When you're finished speaking, tap Stop. The app confirms the recording is complete and shows the total duration. From here you can play it back to verify, re-record if needed, or discard and start over.

You can also tap Take Photo to attach one or more photos to the observation before submitting.

Once you're satisfied with the recording and any attached photos, tap Submit Observation. Your report is instantly sent to SafetyLoop for AI processing.

Step 4: Review the Details

Once processing is complete, opening the observation reveals the full AI-generated output. The Transcript section displays the original spoken text alongside the English Translation, so reviewers can verify accuracy and edit if needed.

Above the transcript, SafetyLoop presents Suggested Actions to Create — specific, ready-to-assign action items generated directly from the content of the observation. In this example, the AI has identified two actions: "Assess and repair south wall" and "Plan and implement parking lot reorganization (markings and flow)." Each can be created with a single tap, or your team can use Create Action from Observation to define a custom action instead.

Step 5: Review in the Dashboard

Back in the Observations dashboard, your safety team sees all submissions filtered by All, New, Reviewed, and Critical. Each card shows the observation category, severity level, and a preview of the transcribed content.

Observations originally spoken in another language are clearly tagged — for example, "Translated from RUSSIAN" or "Translated from HUNGARIAN" — so reviewers always have full context. Observations still being processed appear with a Transcribing badge, indicating the AI is actively working in real time.

Once processing is complete, each observation includes AI-generated action item recommendations, giving your team a clear starting point for follow-up regardless of what language the original report was recorded in.
