Configuring Time Tracking

1. To begin, you will need to configure your Time Tracking. Click the “Configuration” button.

2. Here you will be able to create and edit Classifications, Cost Codes, Time Types, Billing to, Geofence management, and User access to time tracking.

  • Classification – Whatever you would like to classify the work type as, such as concrete, electrical, etc. 

  • Cost Codes – Whatever cost codes you would like to have associated with different types of work.

  • Time Types – Type of time, such as Regular, Over
    Time, Holiday, etc.

  • User Management - Grant access to users for Time Tracking use. 

  • Geofence – Set a required distance from your project that the punch clock needs to be accessed within.

  • Work Entry Configuration - Control what is visible for workers to fill out.


NOTE: In Work Entry Management you can disable certain fields, if you do not wish to have them displayed you can disable them here!

Classification

3. From the Time Keeping Configuration page, ensure the “Classification” tab is selected.

4. Next, click the “Add Classification” button.

5. Here you will input your classification type and its corresponding code. Click the “Add Value” button to add another set, then click “Create” once complete.

6. Once created, you can edit and enable/disable the classification types from the main classification table.

Cost Code

7. Next, click the “Cost Code” tab. Then, click the
“Add Cost Code” button.

8. This will open the create cost code window, type in your cost code and click “Add Value” to add more. Once complete, click the “Create” button.

9. Once created, you can edit and enable/disable the cost codes from the main cost code table.

Time Type

10. Next, we will create time types. Click the “Time Type” tab and then click the “Add Time Type” button.

11. This will open the “Create Time Type” window. Enter your time type, click “Add Value” to add additional time types, and then click the “Create” button.

12. Once created, you can edit and enable/disable the time types from the main time type table.

Billing To

13. Next, lets add options for billing to. Click the “Billing To” tab, then click the “Add Billing To” button.

14. Once created, you can edit and enable/disable the Billing To from the main Billing To table.

Time Tracking User Management

15. Click the “Time Tacking User Management” tab.

16. Here you will see the full list of users in your system, you will need to enable each user you would like to have access to Time Tracking.

NOTE: You can also enable time tracking from the individual user edit window (Users & Groups > User List). Adding additional users may increase your time tracking package cost. 

Geofence Management

17. Next, we will setup the Geofence (if applicable). Click the Geofence Management tab.

18. This will bring you to the main Geofence page/table. Here you will see a list of all your groups. Add your Maximum distance allowed from the group address, enable/disable Geofence Required, and Turn on by group.

  • Max. Distance Allowed – Enter the maximum number of Kilometers users are allowed to access the time clock without being flagged. This will use the Group address as an anchor, this can be found in Users & Groups > Company Groups > Edit Group. 

  • Geofence Required – This requires use of the geofence when accessing the time clock, attempts to create a work entry outside of this radius will be blocked. Making it required to be within your set perimeter. 

  • Turn on by Group – This turns geofencing on for the group but does not require it, entries outside this radius will be flagged in the main time tracking table. So, users won’t need to be within any perimeters.

Work Entry Configuration

19. Work Entry Configuration is where you can disable certain fields, once disabled they will not appear for the end user. 


NOTE - Enabled fields will be MANDATORY (Additional customization for mandatory/optional is coming very soon!)

20. Next, simply toggle on or off the fields you would like displayed!
