Creating Inventory Items

  • There are two ways to do this, you can create them individually via the “Create Inventory” button or you can bulk import your inventory items.
  • Bulk Import will also create any Types, Suppliers, and Locations that do not exist already.

1. Next, click the “Create Inventory” button.

2. This will bring you to the Create Inventory page, here you will input all information for the new inventory item. Once all info has been inputted, click the “Create” button.

  • Inventory Name (Mandatory) – Name of the inventory, this will be displayed in the inventory list.
  • Inventory Type (Mandatory) – Category of inventory item (Found in Configuration).
  • Supplier (Mandatory) – Supplier of the inventory item (Found in Configuration).
  • Owned/Rented (Mandatory) – Ownership status of the item/equipment.
  • Barcode/Serial Number (Mandatory) 
  • Stock and Price Details
    • Disable Quantity Tracking – Clicking this toggle will disable the tracking of the inventory’s quantity. This will track inventory when it is stocked, sent out, dollar value, and notify on a low stock threshold. To calculate the above, all steps of that process must be inputted.
    • Current Quantity – The current quantity of the inventory on-hand.
    • Unit Price ($) – Dollar value for each piece of inventory, this would be the dollar value based on your quantity selected above.
    • Low Stock Threshold – Once the inventory quantity passes this limit, it will be displayed in the “Current Stock Level” visual above the table.
  • Location (Mandatory) – Location of your inventory
  • Last Order Date – Last time you ordered the inventory
  • Expiration Date – If perishable, the date your inventory item(s) will expire
  • Set Notification Alert – Notify to deliver on a daily, weekly, monthly, or annual basis.

3. Once you have created your inventory, you can view, edit, view history, view QR, and/or archive it through the action dots to the left of the item in the inventory list.

Create Inventory - Bulk Import

  • The Bulk Import function uses a .CSV file to bulk upload multiple inventory items and their information at once. It will also create types, suppliers, and locations that have not already been configured.
    • Types, suppliers, and locations need to be spelt the same to avoid multiples.

1. From the main inventory management page, click the “Bulk Import” button.

2. This will open the Bulk Import Upload window, here you will download the sample file to help format your Inventory list properly. Click the “Sample File” button to download the file.

3. Using this sample file and the example inventory item (Laptop), begin populating your inventory list.

4. Once you have populated your sample file, click the “Upload File” button and then select your inventory .CSV file. Once your file successfully uploads, it will show below the upload file box. Click the Upload button, once upload is complete you may need to refresh your page to see updates!

5. Once you have created your inventory, you can view, edit, view history, view QR, and/or archive it through the action dots to the left of the item in the inventory list.
