Managed Subs – External View

  • Managed subs allow a SafetyLoop company account to create a subcontractor profile within their account. These subcontractors can scan their unique QR code and access an external version of SafetyLoop that has been setup to show the forms and groups that they need. 
  • Managers & Admins of the main account can access QR Codes for all Managed Subs if you they do not have access to their unique access link. 


Accessing your External SafetyLoop

1. You will need to be provided a QR code and/or link from the main company account. Once received, copy the link into your browser search bar or scan the QR Code using your smart phone or tablet.

The original welcome email you received will contain a QR Code to scan and invite link to click to gain access to your external account. Bookmark the site for quick and easy access going forward!

2. Once you’ve clicked the link, you will be brought to your external SafetyLoop account!

New Form

1. Once you’ve followed the steps above (Accessing your external SafetyLoop), click the “New Form” icon.

2. This will bring you to a list of forms the parent company has assigned to you. If you do not see a form you need to complete, ask the parent company to assign it to you.

3. To start a form, click the “Start Form” button. As soon as you begin a form, it will be visible to the parent company.

4. You will now select the applicable project/group that you will be completing the form for. Once you have selected the project/group, click the “Start” button.

5. The first page of most forms will show some prepopulated information, such as date, prepared by, and weather. 

6. At the bottom of the page click the “NEXT PAGE” button.

7. Once in the form you can navigate using the “Previous Page” (Go back a page), “Next Page” (Go ahead a page or to the next page), and “Save & Exit” (Save the form as is – This will NOT complete the form). 

8. Go through each page of the form and answer the questions, you may encounter multiple choice, text input, and other answer types. Each question can add additional notes and photos using the applicable buttons below.

9. When you’ve reached the end of a form, click the “Mark as Complete” button. 

10. Once you have completed the form, you will be brought to your forms page. This will show you all the forms you have started or completed. You can edit them or view them in PDF format.

Documents

1. To access your documents, click the “Documents” icon. 

2. This will bring you to your documents page, here you can view documents uploaded to your account, create folders, and upload documents. Documents can be uploaded from your account and the parent account.

· While you can upload folders/files, organize, and edit from a mobile device. It is recommended to do this from a desktop, using the link accompanied with your QR code access. See below for these steps.

Documents – Desktop

1. To access your external account via desktop, copy the link found below your QR Code, then paste it into your browser search bar.

If you do not have the QR Code and link shown above, go back to the original welcome email you received and click the “Invite Link” button!

2. This will bring you to an external view of your SafetyLoop dashboard, click the “Documents” icon. 

3. Here you can view, edit, organize, and upload files and folders. To create a folder, click the “Add Folder” button.

4. Give your folder a name, description (if applicable), and Expiry Date (if applicable). Then click “CREATE”.

5. Once your new folder is created, you can upload files to it. Click into the folder, then click the “Upload” button. Repeat step 4 if you would like to add a folder within your new folder.

6. The upload files window will appear, click the upload files button to upload files from your computer. This will open your computers document window for you to find and select the desired folder/file. Then click upload. 

Alternatively, you can toggle the “Drag/Drop Files” on, this will allow you to drag and drop your folders/files in. Once dropped in, click the “UPLOAD” button. 

Whichever folder you are in, you will be placing your new files/folders into, to upload into your main home folder, stay in the main page and click the upload button. 

7. To edit a folder, click the action dots to the right of the desired file/folder and then click edit.

You can also delete folders/files through the action dots, then clicking “Delete”. 

Trainings

1. To view the records of training the parent company has uploaded to your account, click the “Training” icon.

2. Here you will be able to view any of the trainings that have been submitted by the parent account, you can view the name, completion date, and expiry date summary or click “View PDF” to see the proof (If applicable).
